Step 3: Create a Bot Account

To allow SKUtrak to start collecting your data, you need to create a "bot account" within Retail Link.

💡 Bot accounts are special user accounts within Retail Link that do not require the normal Multi-Factor Authentication (MFA) process of standard user accounts. Instead, they use a Retail Link generated "bot token" to authenticate.

Now, we can create a new bot user:

  1. Within the "User Management" page, click the "Add User" button at the top right of the screen

  2. Enter the following details in the first 2 fields on the form:

    First NameSKUtrak

    Last NameBot

  3. Enter the Email and Phone Number that has been emailed to you

💡 You will have been provided with an email address and telephone number to use for the bot account

  4. ✔️ Check the box to confirm this is a Bot User Account

  5. 🔽 Choose "Direct Employee" from the Employee Type drop-down field

  6. 🔽 Choose "Information Systems" from the Employee Position drop-down field

  7. 🔘 Select the "Full Access Additional User" option as the Role

⚠️ "Full Access" must be selected so the Bot Account can download reports from the Decision Support section of Retail Link.

  8. 🔽 Select all relevant supplier codes from the Supplier drop-down field.

💡 If you are unsure which supplier codes to select, choose all codes that are available in the drop-down field.

  9. SKUtrak requires no Additional Access so this can be left blank

  10. Click the "ADD USER" button at the top right to create the Bot Account User

  11. After a few seconds you will be returned to the User Management screen and the bot user account should now be present in the list of users

💡 SKUtrak will receive the invitation email and finish configuring your account. SKUtrak will securely store and manage all account information.

Step 4: Generate a Bot Token

A generated token is required for bots to securely authenticate with Retail Link and download the necessary files for your SKUtrak service.

Follow these steps to generate a fresh token so that SKUtrak can begin collecting data from Retail Link:

  1. Locate the "SKUtrak Bot" account you have just set up in the User Management screen

  2. Click the three dots next to the user to show more options and select "view profile"

  3. You will be taken to the User Profile page. From this page, click "Generate Bot Token" at the top right of the screen

  4. You will be shown a message if the token is successfully generated. That's it! 🎉 You may now log out of Retail Link.

💡 SKUtrak will receive the new bot token via email and associate it with your account

⚠️ Please note Asda Retail Link Bot accounts require a new token every 60 days, you will need to regenerate the token in Retail Link once this token expires in order to keep the connection active

Step 5: Validate your account in SKUtrak

SKUtrak will handle the set-up from here, there is no need to enter any more information. It may take a few days for SKUtrak to set everything up.

To check the validity of the connection, head back to the Data Management screen in SKUtrak:

  1. From the blue navigation bar at the top of the screen, click the Data Management icon

  2. From the drop-down list that appears, select Data Sources

  3. Choose Asda to see the status of your Retail Link connections

💡 Once a green tick appears against the Retailer to show your data is successfully connected with SKUtrak, as per your subscription plan for this Retailer, your Retailer data should be available to view in SKUtrak within 1-5 working days

⚠️ You will need to repeat the steps in this guide for each separate Retail Link Account you wish to connect with SKUtrak. A new bot account is required to collect from each Retail Link Account
